The spreadsheet is doing more than accounting

In a small operation, a spreadsheet is often the first honest system. It holds what came in, what moved, and what someone still needs to check. That works while one or two people can see the whole picture.

The trouble starts when the file becomes the process. Receiving is a row. A transfer is a color. An exception is a comment. The work still happens in the warehouse or the kitchen, but the record of it depends on whoever last opened the file.

What usually breaks first

Counts stop matching the floor. Two branches keep two versions. A manager asks a simple question — what is on hand, what moved yesterday — and the answer takes an afternoon of reconciliation.

None of that means the team is careless. It means the tool cannot hold roles, history, and exceptions at the same time. People compensate with chat messages and side lists. Those compensations become the real system.

Replace the process, not just the file

A custom platform is useful when it follows the physical flow: receive, put away, transfer, look up, report. If the software only stores numbers in a nicer grid, the same fights continue.

The first version does not need every report. It needs the daily tasks, the right permissions, and a record that more than one person can trust. Extra features can wait until the operation is actually using the product.

How we approach the change

We walk the current files, the people who touch them, and the exceptions that never made it into a column. Then we define a first useful version around those tasks.

If a spreadsheet is still the right tool, we will say so. Software is worth building when the cost of reconstructing the truth every week is already higher than the cost of a shared system.
